The pre-defined reports are generated as either PDF files or Excel spreadsheets. Access to pre-defined reports is based on user security level.
Click on My AptaFund in the menu bar, and then click Reports.
Optional. Select the Module containing the report you want.
Select the Report from the Reports pull-down list, and a group of setup fields are displayed.
Select the report parameters using the drop-down lists. Note: If you change your mind and want to change all the parameters you've entered, click the Clear button in the Settings bar under the Reports pull-down list.
The multi-select list allows you to select more than one item by clicking in the text box and selecting from the drop-down list. It will look like either
an empty text box, or
The single-select list has text displayed even before you make a selection and allows you to select only one item.
Complete the printing options as desired.
Suppress Sub Totals: Check this box if you don't want sub-totals to print on the report — for example, if you're exporting the report to an Excel sheet and want to manipulate the data.
Suppress Grouping: Check this box if you don't want the data to be arranged in groups. This option is again very useful if you're exporting the report to an Excel sheet and want to manipulate the data.
Fit to One Page Wide: Check this box if you're exporting to PDF with many columns so that all the columns will print on the same page.
Once you've designated all the parameters, click either the Report to PDF or Report to Excel button. The Save Dialog window opens.
Use the default name or enter a name for the report file, navigate to the location you want to save the report, and click Save. The report is exported to either a PDF file or a Microsoft Excel file and saved in the location you selected.
Note: The parameters you set for a report are "sticky" — in other words, the next time you open this report setup, it will display the parameters you used to generate the report the previous time.
Since you may regularly generate the same report but with different parameters, you may want to save the different sets of parameters. Click here for instructions.
