AptaFund provides the ability for an employee to fill out federal and state W-4 forms online and submit them for approval.
Users with payroll manager, payroll admin, or fund admin permissions can then view and approve or reject the changes.
Employees are notified by email when their change requests have been approved or rejected.
If the request is rejected, the employee will be able to see the reason for rejection in the Comment column.
Use the My Deductions window to:
Create & submit a new federal W-4 or state W-4.
View a submitted request: Select the request you want to view, and click View Request.
Delete a submitted request: Select the request you want to delete, and click Delete Request. Click Yes when you're asked to confirm the action.
Print a submitted request: Select the request you want to print, and click Print Request. Click Yes when you're asked to confirm the action. The system generates a PDF copy of the W-4.
Select My Deductions from the My AptaFund > Employee Self-Service menu, and that window opens.
Click New Federal W-4, and a fillable form opens in a popup with the name, address, and SSN fields pre-filled.
Complete the remaining fields. Note: You may want to complete the worksheets on page 3 before completing the federal W-4.
Click Submit.
Select My Deductions from the My AptaFund > Employee Self-Service menu, and that window opens.
Click New State W4, and a fillable form for the employee's state opens in a popup with the name, address, and SSN fields pre-filled.
Complete the remaining fields.
Click Submit.
