Use the Adjust Budget feature when you want to redistribute account amounts in an Adopted, Adjusted, or Revised budget while leaving the total amount of the budget unchanged.
Select Budget Management from the Budget menu, and that window opens. Note: If you need to work in a different accounting cycle, select it from the link in the upper right corner.
Select the Fund and Account Type as needed to find the budget item(s) you want to adjust.
Check the box(es) for the account(s) you want to change, and click Propose Account Budget. The Propose Account Budget window opens.
Complete the Change field, entering a positive number to increase the proposed amount or a negative number to decrease the proposed amount. When you tab out of the field, you'll see the new proposed amount.
Optional. Enter a Comment to explain the change.
Click Save.
Repeat steps 4-6 until you've edited the last of the selected accounts. You're returned to the Budget Management window. Sample
The new amounts are displayed in the Proposed Amount column.
If you've correctly entered new proposed amounts, the summary window will still show $0.00 difference. Remember: If you need to change the total amount of the budget, use the Revise Budget feature.
Repeat steps 2-7 if you need to adjust amounts in other funds.
Click Adjust, and the Adjust Budget window opens.
Enter the Adopt Date if today's date isn't the date you want for the adjustment.
Enter any desired Comments. Comments will be displayed in the Budget Items grid in the Budget Management window.
Check the box(es) for the fund(s) in which you're making adjustments, and click OK. You're notified that the record was saved correctly.
The fund budget status is now Adjusted.
The Adopted Amount column still displays the original budget amounts, while the Current Budget column shows the newly adjusted budget amounts. Sample
You can see the transaction for the adjusted fund budget in the General Ledger > Transaction Journal Detail window.
