The Assignments tab on the Edit Employee popup is used by customers in certain states to gather information required for state reports.
You can add, edit, and delete assignments on the Assignments tab, but you can also use the Create Assignments from Jobs feature on the Jobs tab to quickly create multiple assignments based on an employee's jobs.
Select Manage Employees from the Human Resources menu, and that window opens.
Use the Search feature or a filter to display the employee you want to edit.
Click the Display Name link, or check the box for the employee, and click Edit. The Edit Employee popup opens.
If needed, close the collapsible sections to make it easier to see the tabs at the bottom of the popup.
Click on the Assignments tab.
Click Add, and the Add Assignment popup opens.
Complete the fields as described. Required fields are marked with a red asterisk (*). Fields marked OBSOLETE can be ignored.
Job Name: Select the job from the pull-down list. Job names are created in Master Position Management.
FTE: Enter 1.0 for full-time jobs, 0.0 for supplemental/substitute-type jobs, and a value between the two for part-time jobs.
Start Date & End Date: Enter the date, or click to select the date.
Subject: If applicable, enter the subject matter of the employee’s certification.
Grade Level: If applicable, check all boxes for the grade levels taught as part of this assignment.
Contract Days: Enter the total number of days employed for this job. Note: Don't split the number of contract days between multiple assignments; use the total contract days for each assignment.
Hourly Rate: For hourly paid employees.
Hours per Day: Enter the number of scheduled work hours. If the hours vary from day to day, enter the average for a 5-day work week..
Salary: Enter the annual base salary for salary jobs.
Location: Select the location for this assignment.
SPED Staff Program Code: Select the code, or enter 0000, if not applicable.
Employment Status Code: Select the status of a staff member's employment for the assignment at time of data file upload.
Job Class Code: Select the code that best corresponds with the job.
Teaching Subject Area: Select the description of an area course for which the employee has the responsibility to teach, or enter 0000 if not applicable.
Admin Instruct Area: Select the type of program or service in which the employee participates, or enter 0000 if not applicable.
Grant/Project Source: Select the funding source for this assignment.
Colorado Only fields:
SPED Assignment Flag: Select Yes if this assignment is a special education assignment.
Years Principal at School: Enter the number of years has held a principal position at the location for this assignment, or enter 0.
Passed CDE Elementary Test: Obsolete. Enter Yes if an elementary or early childhood core content test was taken and passed. Enter No if the test was taken and not passed, or wasn’t taken.
24 Semester Hours: Obsolete. Enter Yes if the assignment is for a secondary teacher who has at least 24 semester hours of content in the area in which they are teaching.
Passed CDE Secondary Test: Obsolete. Enter Yes if the assignment is for a secondary teacher who has passed a Colorado-approved core content test in the area in which they are teaching.
Number of Classes in Subject: Enter the number of different classes or sections the employee teaches in the week of December 1. Enter 0 if not applicable.
Click Save if entering only one assignment, or click Save and Add to enter additional assignments for this employee.
Return to Manage Employees Overview
Note: If you used the Create Assignments from Jobs feature to create an assignment, the following fields will have been completed, but they may be edited: job name, FTE, start & end dates, contract days, hours per day, hourly rate OR salary, job class code, and SPED assignment flag (where applicable).
Select Manage Employees from the Human Resources menu, and that window opens.
Use the Search feature or a filter to display the employee you want to edit.
Click the Display Name link, or check the box for the employee, and click Edit. The Edit Employee popup opens.
Click on the Assignments tab.
Check the box(es) for the assignment(s) you want to edit, and click Edit. The Edit Assignment popup opens.
Complete and edit the fields as described above.
Click Save if editing only one assignment, or click Save and Next to edit additional assignments for this employee.
Return to Manage Employees Overview
Select Manage Employees from the Human Resources menu, and that window opens.
Use the Search feature or a filter to display the employee you want to edit.
Click the Display Name link, or check the box for the employee, and click Edit. The Employee Details window opens.
Click on the Assignments tab.
Check the box(es) for the assignment(s) you want to delete, and click Delete. You're asked to confirm the action.
Click Yes.
