Select Purchase Requisition from the Purchasing menu, and the Admin Purchase Requisitions window opens.
The pinned filters make up the system settings for the window. You may change them using filters and/or the table display settings.
The window defaults to show the PRs in all approval processes of which you're a part. You can use the My Approvers pinned filter to select PRs in a single approval process.
Click the Add button, and the Add Purchase Requisition window opens.
Complete the fields as described. Required fields are marked with a red asterisk (*).
Approver: Select from the pull-down list. The list includes all approver roles assigned to the logged in user. For example, if the user is both an approver and a backup approver, both will be included in the list.
Requisitioner: This field defaults to a read-only label, unless you check the Show All Requisitioners box. When that box is checked, select from the pull-down list.
Ship To: Select the location from the pull-down list. The location is printed on the PO created from the requisition, and the locations are set up in Purchasing Configuration. Note: If only one location is designated in Purchasing Configuration, this field will be read-only.
PR Type: The default based on the setting in Purchasing Configuration can be changed here. Select from Regular, Dollar, and Blanket. Note: Additional types — Replenishment, and Warehouse — are available if your district is using the Warehouse module. Click here for descriptions of the different types.
Suggested Vendor: Select from the list of enabled vendors. Click here for information on using the Amazon eCommerce vendor.
Department: Defaults to the department listed for the selected employee in Manage Employees, if any. If no department is listed, enter a department name as desired.
Required Date: Enter the latest date that the goods or services may be delivered
Comments: Enter text as desired. When a purchase requisition is rejected, the rejection reason is recorded in this field. When a purchase requisition is approved, the approval comments are recorded in this field.
Terms: Defaults to the information in Vendor Management, but may be edited. Entries in this field are not used in any calculations.
Quote No: Required if the amount of this PR will exceed the maximum threshold set in Purchasing Configuration.
Quote Notes: Optional. Enter information about quotes or bids.
Click Save. The PR receives a number, and the Requested Items tab is displayed.
