Everything necessary to produce the report can be found in the employee records in Manage Employee. However, the information can also be edited within the report itself, and the edits will flow back through to the employee records in Manage Employee — thereby retaining data integrity.
You can mark the report as a favorite to make it easy to access from the AptaFund home page.
Complete these fields in Human Resources Configuration, if that hasn't already been done.
School District/ BOCES Code: This code can be found on CDE reports or from the online website: https://cdeapps.cde.state.co.us/schlcode.htm
Sites: Enter values so they exactly match the CDE School Building Codes table for the district. This will allow codes to be retrieved and reported correctly. 9980 Is Always used for District Wide or District Office.
Show checkboxes for Assignment Grades: Select Yes to display checkboxes for Assignment grades. Select No to show a drop-down list for Assignment grades.
Termination Reasons: Copy the following codes as is, and paste into the configuration value. 01 Other employment in education;02 Other employment outside of education;03 Retirement;06 Formal study or research;08 Terminated due to Ineffective Rating;20 Death;99 Other
Institutions tab: If not done, import the file available from Harris Support.
Subjects tab: If not done, import the file available from Harris Support.
Degrees tab: Enter these values manually, using the file available from Harris Support.
Confirm that the following fields have been completed in Manage Employees. These fields are required for this report.
General section: SSN, employee first, middle & last name, gender, birth date ethnicity, race.
Employment section: Hire date, termination date, years of experience state, years of experience career, & passed paraprofessional test.
Custom fields: Educator ID, yrs career teach, yrs principal career, & teacher probation.
Addresses: Type = home, district of residence.
Education history: Degree, institution, state, & major.
Add & edit assignments. You also use the Create Assignments from Jobs feature on the Jobs tab to quickly create multiple assignments based on an employee's jobs. Click here for a list of the required assignment fields and how to complete them.
Add & edit evaluations. Refer to About Evaluation Criteria Groups and About Scores for Evaluation Criteria for more information on entering evaluations.
Select CDE December Staff Report from My AptaFund > Reports > Human Resources, and the report setup window opens. Note: You may want to click the star icon to favorite this report.
Complete the parameters.
Click Report to Grid.
If the report has never been generated, the report grid window opens with Staff Profile and Staff Assignment data on separate tabs. Skip to step 4.
If the report has already been generated, the Generated Data Exists popup opens. Click on Continue with Previous Editing if this report was edited already and those edits need to be retained, or click Delete and Generate New Data if starting a new report. The report grid window opens with Staff Profile and Staff Assignment data on separate tabs.
Edit the data. See Anatomy of the Report to Grid Window for information on using the commands in this window to edit the data.
If there are errors, you will need to resolve them before generating the export. You can make sure you see all the validation errors by clicking on the Validation Error(s) column to sort it.
You can correct any errors by returning to the appropriate entries within AptaFund, by fixing any parameter problems in the report setup window, or by selecting row(s) and editing them within the report.
When you're finished editing the data, click the Export to File button at the bottom of the grid. If the validation errors haven't been resolved, you will receive a warning message. Clicking Yes will generate the export anyway. Clicking No will return you to the report so that you may edit it.
Return to Colorado Reports Overview
